Electronic Records and Signature Disclosure

How electronic signing works on Contractsign, the legal effect of your electronic signature, and your rights before you sign.

1. What this disclosure covers

This disclosure applies when you are asked to review and sign a document electronically through the Contractsign platform. It explains what it means to receive records and sign electronically, and the choices you have before signing.

The party who sent you the document (the "sender") — not Contractsign — is your counterparty to the document itself. Contractsign provides the technical signing platform.

2. Legal effect of your electronic signature

By signing a document on Contractsign, you sign electronically, and your electronic signature is intended to be legally binding — with the same effect as a handwritten signature — to the extent permitted by applicable law, including:

  • The U.S. Electronic Signatures in Global and National Commerce Act (ESIGN)
  • The Uniform Electronic Transactions Act (UETA), as adopted by U.S. states
  • EU Regulation No 910/2014 (eIDAS)

Certain document types may be excluded from electronic signing under local law (for example wills or certain family-law and court documents). The sender is responsible for ensuring electronic signing is appropriate for the document in question.

3. Your consent to do business electronically

Before you sign, the signing screen shows a notice stating that by clicking "Approve and sign" you agree to receive the document and conduct this transaction electronically. Completing the signing step constitutes your consent.

Your consent applies to the specific document and transaction you are signing — not to future documents. You will be asked again each time you are invited to sign.

4. Paper copies

You have the right to receive the document on paper instead. To request a paper copy — before or after signing — contact the sender directly. Contractsign does not charge you a fee for the electronic copy you receive by email, and you can print it at any time.

5. Declining or withdrawing consent

You are not required to sign electronically. If you prefer not to:

  • Simply do not complete the signing step — closing the window has no consequences
  • Where the sender has enabled it, you can decline directly in the signing view
  • Contact the sender to arrange signing on paper instead

Withdrawing consent before signing is free and does not affect the validity of the document if you later sign it on paper. Once you have signed electronically, your signature on that document is complete and can no longer be withdrawn by revoking this consent.

6. Hardware and software requirements

To receive, review and sign documents electronically you need:

  • A device (computer, tablet or phone) with internet access
  • A current version of a modern web browser with JavaScript and cookies enabled
  • Access to the email account — or, where SMS verification is used, the phone number — the document was sent to
  • Software able to view PDF files (built into all modern browsers)
  • The ability to download or print files if you wish to keep copies yourself

If these requirements change in a way that materially affects your ability to access your records, this page will be updated.

7. Copies of the signed document

When all parties have signed, the final document — including a signature page with the signing evidence — is emailed to every party. We recommend downloading and storing your own copy. You can also request a copy from the sender at any time.

8. How your consent and signature are recorded

By opening the signing link from your email and entering the verification code sent to you, you demonstrate that you can access records in the electronic form used for this transaction.

When you sign, Contractsign records the consent text shown to you, the time of signing, your IP address and device information, and a cryptographic fingerprint (SHA-256) of the document — forming the evidence trail for the signature. See our privacy policy for how this data is processed.
